At ClockSquad, we believe that your work data belongs to you. We’ve designed our service around transparency, security, and a strict respect for your privacy.

This policy explains how we collect, store, and process your information when you use ClockSquad.

1. The Database Isolation Model

Unlike standard SaaS products that dump all users’ records into a single shared database, ClockSquad partitions data at the filesystem layer. Every workspace is allocated its own dedicated, physical database file.

  • We do not inspect, analyze, or mine your project names, client list, tasks, story details, or logged time entries.
  • Your workspace data is completely isolated.
  • If you choose to delete a workspace, the physical database file is permanently erased from our active hosting servers.

2. Information We Collect

To run the ClockSquad service, we collect two categories of information:

Registry Account Data

To manage logins, permissions, and squad invitations, we store account information in a central registry:

  • Identification: Your email address and display name.
  • Authentication: Securely salted password hashes to authenticate your login.
  • Workspace Memberships: The list of workspaces you own or belong to, along with your assigned roles.

Billing & Subscription Metadata

To manage payments and plan limits, we store:

  • Your active plan tier (Free, Starter, Growth, Business, or Enterprise).
  • The seat limit associated with your active plan.
  • Payment status metrics. We do not store your raw credit card details; all financial transactions are processed securely through our payment gateway.

3. Data Sharing & Third Parties

We do not sell, rent, trade, or distribute your personal data or tracked hours to advertisers, data brokers, or third-party networks.

We only share data with third-party service providers (like payment processors or hosting infrastructure) strictly to the extent necessary to deliver the service.

4. Backups and Retention

Central registry data and workspace database files are backed up daily to secure, encrypted storage. Central registry entries (like user accounts) are retained until you delete your account. Workspace database files are retained until the workspace is permanently deleted by its Owner.

5. Updates to This Policy

We may update this policy as ClockSquad evolves. If we make material changes, we will notify you by posting an update notice on our website or emailing you directly.
